HeyTalent vs Workable in 2026: sourcing or ATS depending on where the role stalls

Workable tracks in detail what happens to a candidate from the moment they apply, but none of its metrics records the specialist who never saw the job ad. If your last few roles took more than a week to reach a shortlist because there were no names, HeyTalent is the better option of the two: it finds that passive talent on LinkedIn, gets their email and phone and automates the first contact, and it also includes a free ATS that publishes the job. Workable does more when inbound already fills the pipeline and the bottleneck is coordinating interviews and governing applicants' data. The decision is made per role, by measuring which stage is piling up the days.

What Workable is and what HeyTalent is

Workable is an ATS (applicant tracking system): it publishes jobs, collects applications, moves each person through stages and coordinates interviews with hiring managers. An ATS can be defined as the official database of the hiring process, recording who applied, which stage they are in and why they moved forward or were rejected. More detail in the guide on what an ATS is. Workable is no longer sold as an ATS alone: its plans combine recruiting with an HR module (employee records, onboarding, time off, time tracking and payroll) and its pricing page advertises up to 20% off for taking both blocks together.

HeyTalent is an AI sourcing platform: it extracts up-to-date LinkedIn profiles, including outside the recruiter's network and without a LinkedIn Recruiter licence, filters them with AI variables the recruiter writes, finds email and phone and automates invitations, follow-ups and InMails on LinkedIn. It was born inside a tech recruitment agency in Barcelona.

HeyTalent vs Workable in 2026: comparison by criterion

In 2026, HeyTalent and Workable cover different stages of the funnel: HeyTalent works before the application, with search and first contact, and Workable works after it, with the process of people who already applied.

What HeyTalent does before anyone applies in Workable

HeyTalent turns a role brief into a list of professionals you are already talking to, the stretch Workable only covers by charging AI credits per passive candidate. A two-line brief becomes a search with advanced LinkedIn filters: job title, keywords, location, experience and company size.

HeyTalent extracts each profile in real time and filters it with AI variables, such as English level or type of company; an inference orders the review, it does not certify a skill.

Once the list is reviewed, HeyTalent finds emails and phone numbers and launches a sequence of invitations, follow-ups and InMails. Replies land in a shared inbox you can filter by role and by recruiter, from which the candidate moves to the HeyTalent ATS in one click.

According to HeyTalent, its users work 60% faster during their first month of use, an average efficiency gain the company attributes to tighter, better-filtered lists. It is a self-reported figure and does not measure time to hire.

HeyTalent offers its ATS at no cost and charges for the sourcing layer. That ATS publishes jobs on your own careers page and on Google Jobs and shares pipelines with the client. The limit: it does not replace Workable in an in-house team with heavy inbound and lots of interviews to coordinate.

How to tell whether the role is stuck in sourcing or in the process

A role is stuck in sourcing when it spends more time without names than without replies; it is stuck in the process when applications exist and nobody moves them. According to ManpowerGroup, in 2025 75% of companies in Spain reported difficulty finding the profiles they need, 78% in technology and 84% in transport, logistics and automotive.

Ordering Workable's stages better does not add a single new name. Mark the dominant bottleneck of the role:

  • Missing names or contact data: HeyTalent territory.
  • Missing replies: review the message and the follow-up.
  • Missing internal order: that is where Workable adds more.

Which metric to track at each stage with HeyTalent and Workable

HeyTalent is measured before the application, by time to a useful shortlist and contactable profiles; Workable is measured after, by process time from application.

Stage Best covered by Metric
Discovering passive talent HeyTalent Time to a useful shortlist
Enriching contact data HeyTalent Share of contactable profiles
First contact and follow-ups HeyTalent Connection acceptance and positive replies
Pipeline, interviews and coordination Workable Process time from application
Data of people who applied Workable Notices, deletions and retention periods met

In a technical role, what counts is a contactable, relevant list, not a long one.

How much HeyTalent and Workable cost: which unit to compare

HeyTalent and Workable are not compared by monthly fee but by the cost of each useful shortlist: fee plus recruiter hours, divided by validated shortlists. HeyTalent's plans start at €93/month billed annually; Workable publishes its rates and starts at $299 a month for companies of 1 to 20 employees paying annually.

Workable lists three plans on its pricing page. As of 30 October 2026, on the 1-20 employee tier with annual payment, Standard costs $299/month ($3,588/year), Premier $599/month ($7,188/year) and Enterprise $719/month ($8,628/year); only Standard can be paid monthly, at $360/month.

Workable's fee follows the company's headcount, not the number of recruiters: the same annual Standard plan rises to $669/month ($8,028/year) on the 51-100 employee tier.

Item HeyTalent Workable
Pricing unit Plan per organisation Plan by headcount tier, across nine steps
Entry price From €93/month on the annual plan (October 2026) Standard from $299/month at 1-20 employees, paid annually
Published currency Euros US dollars
Monthly billing Yes Standard only, at $360/month; Premier and Enterprise are annual
Volume 2,000 to 14,000 candidates a month depending on plan Unlimited active jobs, subject to fair usage limits
Users Unlimited on every plan No published cap; extra permission sets only on Enterprise
Add-ons Included in the plan Texting, video interviews and assessments cost extra on Standard

On Standard, Workable charges separately for what Premier and Enterprise include: texting (+$89/month), video interviews (+$109/month), assessments (+$59/month) and performance and engagement (+$39/month). Those add-ons scale too: $240, $360 and $200 a month on the 51-100 employee tier.

The real saving is not in dropping the ATS but in no longer paying for LinkedIn Recruiter seats just to see beyond your network. Because HeyTalent's fee is per organisation and LinkedIn Recruiter's is per seat, the company puts the saving at up to 5x versus LinkedIn Recruiter, a margin that widens as recruiters are added and narrows for someone working alone.

The guide to sourcing tool pricing in 2026 ranks tools by what it costs to reach a candidate, not by seat.

How much Workable's AI agent credits cost

Workable's AI agent is paid by consumption, in credits, not through the plan fee. Workable publishes the price of each action: 1 credit to screen a candidate against the ideal candidate profile, 2 credits to add a passive candidate to the pipeline and 10 credits for each candidate chat interaction.

Every paid Workable account starts with 3,000 free credits. After that, packs cost $600 for 5,000 credits ($0.12 each), $1,000 for 10,000 ($0.10) and $4,750 for 50,000 ($0.095); they expire one year after purchase and are non-refundable.

At those prices, each passive candidate Workable's agent adds to the pipeline costs between $0.19 and $0.24, and the 3,000 starting credits cover about 1,500 profiles. The Job Brief Agent is included in every plan; the sourcing, screening and engagement agents are not.

How to measure first contact in the first 20 messages

The first 20 contacts for a role are enough to know whether the list, the message or the data is failing. In HeyTalent the sequence is written once and runs on its own; what is left is reading three signals.

  • Connection acceptance. If it is low, the profile or the note does not fit the person receiving the invitation.
  • Positive replies. A good message names the project and a real signal from the profile.
  • Bounces and usable phone numbers. If bounces are high, enrichment is failing, not the copy.

The offer also shapes the response: when you explain the terms, be clear about which benefits the package includes, such as pension plans for staff.

What GDPR requires when sourcing candidates and managing them in Workable

GDPR treats people who have not applied differently from people already in the process. Spain's data protection authority, the AEPD, states that a public social profile is not enough: you need a valid legal basis, processing that is necessary and relevant, and you must inform the person.

For people who have not applied, HeyTalent processes public data under legitimate interest and never resells it; the agency still records origin and purpose and minimises fields. The guide to GDPR compliance in sourcing goes into detail, and these legal bases for processing commercial data help you avoid copying a marketing clause into a job search.

For people who already applied, Workable offers configurable automations: privacy notice, consent on the form, right to erasure and automatic retention, described in its GDPR automation documentation. In governing applicants' data, Workable has the edge.

Before launching a HeyTalent sequence, check:

  • Written purpose: hiring for that role.
  • Minimal fields: only the contact detail you will use.
  • Notice to the person contacted: they know why you are writing.
  • A way to stop: the sequence halts if they object.
  • A human on the shortlist: a solely automated decision with significant effects clashes with GDPR.

HeyTalent or Workable by type of team

Teams that live on direct search need HeyTalent as their base; teams handling heavy inbound need Workable and add sourcing only for scarce profiles. According to the InfoJobs labour market report, declared use of AI in hiring in Spain rose from 24% in 2024 to 38% in 2025.

Team Base Add-on
Direct-search freelancer HeyTalent Its free ATS for finalists
Agency with several recruiters HeyTalent with a shared inbox The client's ATS if required
In-house TA with heavy inbound Workable HeyTalent only for scarce profiles
RPO HeyTalent for scarce mandates Workable for the client's process

An in-house TA team already working in Workable should not replace it; add HeyTalent only where inbound does not reach, such as data, cybersecurity or engineering.

Where HeyTalent and Workable fall short

HeyTalent is unnecessary if hires already come in through the careers page: paying for sourcing on a role with 80 valid applications is spend, not speed. HeyTalent estimates more than 1,000 hours saved for its users on manual profile review, but that figure measures the task it removes, not the cycle to signature.

Workable does add passive candidates from its own profile base, but it charges each addition in AI credits and does not document finding the email and phone of someone who never applied. Workable's limit is the variable cost of that sourcing, not its absence.

The limit HeyTalent and Workable share is the score as the only reason to reject. An inferred language filter can leave out a valid person; the list prioritises and a human decides.

How to test HeyTalent against Workable in two weeks

Two weeks on a real role settle the HeyTalent vs Workable question better than a feature table:

  1. Group A: sourcing and outreach with HeyTalent, starting from the role brief.
  2. Group B: Workable's usual channels, with the job ad published.
  3. Human review: in group A, the recruiter validates the list and the messages before launching the campaign.
  4. Shared measurement: time to shortlist, contactable profiles, positive replies, interviews per 100 candidates and hires per euro.

Workable gives a 15-day free trial with no credit card and the Enterprise feature set, but its AI agent is excluded: group B is measured without the agent.

Do not declare a winner on raw volume: the most telling indicator is shortlist speed validated by a person.

HeyTalent or Workable: which to choose in 2026

If over the last 30 days the shortlist took more than a week because names were missing, start with HeyTalent and leave Workable, or another ATS, for whoever reaches interview; if you have no ATS, HeyTalent's covers the record at no cost. If the time went on coordinating applicants and hiring managers, stay with Workable and ask it for the GDPR setup instead of adding another tool.

If both fail, combine them: HeyTalent feeds the pipeline with passive talent and Workable governs the process. To replace Workable with another ATS, review the Workable alternatives by category. For the test, go to HeyTalent and measure the workflow on a real role before rolling it out to the team.
