HeyTalent vs Vincere in 2026: sourcing, GDPR and costs for agencies

The hours an agency loses hunting for someone to call are not won back by any CRM, however well it manages clients, assignments and registered candidates. When a consultant's day goes on tracking down passive profiles and getting their phone number, not on administering contracts, HeyTalent is the best option against Vincere: it extracts LinkedIn profiles in real time, finds email and phone, and automates the first contact, with a free ATS to follow the process. Vincere is the better fit when the names are already in the database and what gets messy is client relationships, open processes and reporting.

What Vincere is and what HeyTalent is

Vincere is CRM and ATS software for recruitment agencies: it brings together, in one system, the database of registered candidates, the commercial relationship with clients, open assignments and the tracking of every process. An ATS is defined as the official record of the hiring process, showing who is at each stage and why they moved forward or were rejected; the guide on what an ATS is explains it in more detail.

HeyTalent is an AI sourcing platform: it turns a brief into a search with advanced LinkedIn filters, extracts the profiles, filters them with AI variables the recruiter writes, finds emails and phone numbers, and launches LinkedIn sequences of invitations, follow-ups and InMails.

In 2024, 65% of Spanish companies used digital tools for HR management, according to an InfoJobs survey of 1,340 HR and hiring managers in Spain. The question is no longer whether to use software, but which stage to cover first.

What HeyTalent does before the candidate reaches Vincere

HeyTalent covers the stretch from the client's assignment to the first conversation with a passive candidate: finding them, filtering them, getting their contact details and writing to them.

How a profile moves through HeyTalent

  1. Brief to search. The recruiter describes the role in two lines and HeyTalent turns it into a search with advanced LinkedIn filters.
  2. Extraction. HeyTalent extracts profiles in real time and up to date, including outside the recruiter's network and without a LinkedIn Recruiter licence.
  3. AI filter. The AI variables the team defines, such as English level, rank the list; an inference prioritises the review, it does not certify a skill.
  4. Contact. HeyTalent finds emails and phone numbers (more in the guide to candidate data enrichment).
  5. Outreach. The sequence of invitations, follow-ups and InMails is written once and runs on its own.

Replies land in a shared inbox you can filter by job and by recruiter. From the conversation, the candidate moves to HeyTalent's ATS in one click, and lists export to CSV without limit so they can be loaded into another system.

According to HeyTalent, its users work 60% faster during their first month of use, an average efficiency gain the company attributes to tighter, better-filtered lists. It is a self-reported first-month figure, not a reduction in time to hire.

HeyTalent's ATS costs nothing; what you pay for is the sourcing layer. That ATS publishes jobs on a branded careers page and on Google Jobs, creates one pipeline per job and shares it with the client, who sees only the stages and CVs the agency chooses.

HeyTalent's limit against Vincere is clear: it has no sales CRM. An agency that lives on managing client accounts and business reporting will still need Vincere or another agency CRM.

How to tell whether your agency loses hours searching or managing

An agency loses hours searching when its jobs spend more days without names than without replies, and managing when there are candidates in the database that nobody moves.

  • The list fits on one sheet and the client is waiting. Names or contact details are missing: a CRM does not produce candidates; HeyTalent does cover that stage.
  • The names exist but get lost between salespeople and clients. Order is missing: there, Vincere adds more than a sourcing tool.

Note at which stage the days piled up on your last five jobs: that figure decides the purchase better than a feature list.

How HeyTalent filters and contacts candidates compared with Vincere

HeyTalent prioritises and contacts profiles that are not yet in the agency's database: the recruiter defines AI variables for the job and the LinkedIn sequence sends itself. Vincere organises actions on candidates and clients already on record, within the status of each process.

A badly defined HeyTalent variable can prioritise profiles that do not fit: review the criteria against the first results before scaling the campaign.

Vincere's specific AI and communication features have not been verified for this comparison. If they weigh in your decision, ask Vincere for a demo using a real process from your agency.

How much HeyTalent and Vincere cost in 2026

HeyTalent publishes its prices: plans start at €93/month billed annually, are charged per organisation and include unlimited users on every plan. This comparison does not publish Vincere figures: we could not check its pricing page as of 31 October 2026, and an unverified number does not help anyone decide.

HeyTalent plan Annual plan price Quarterly plan price Candidates per month Automated outreach accounts
Recruiter €93/month €109/month Up to 2,000 1
Agency €182/month €214/month Up to 5,000 2
Ultra €509/month €599/month Up to 14,000 3

Every plan includes email and phone lookup and unlimited CSV export; Ultra adds priority support.

Compared with LinkedIn Recruiter, which is paid per seat, HeyTalent charges one fee per organisation: the company puts the saving at up to 5x, a margin that widens with every recruiter added to the team and narrows for someone working alone.

To compare with Vincere, ask for its price for your team and the modules you will use, and compare by the cost of each useful shortlist: fee plus recruiter hours, divided by validated shortlists. The guide to sourcing tool pricing in 2026 organises that comparison by what it costs to reach a candidate.

What GDPR requires when using HeyTalent and Vincere in a multi-client agency

GDPR treats a professional who has not applied differently from a candidate already in the process, and an agency working for several clients must document both cases. The Spanish data protection authority's (AEPD) guide on data protection in employment relationships, shared by the University of Valencia, states that processing candidate data can rest on pre-contractual or contractual measures when the data is needed for selection; if it is used for another purpose, another legal basis is needed and the person must be informed.

The AEPD also lists the contact details and academic and professional information processed when filling positions.

At the sourcing stage, HeyTalent processes public data under legitimate interest, transparently, and does not resell data. That statement does not replace the agency's own record of processing activities (see the guide to sourcing and GDPR).

As with any data processor, ask Vincere for the data processing agreement, deletion periods and sub-processors before loading data from several clients.

Before launching a sequence in HeyTalent, check:

  • Written purpose: hiring for that specific job.
  • Notice to the person contacted: they know why you are writing and how to object.
  • A human on the shortlist: an AI variable prioritises; a person makes the decision.

How to use HeyTalent and Vincere together

HeyTalent and Vincere work together without migrating anything: HeyTalent builds the list of passive candidates and handles the first contact, and Vincere receives those who reply to manage the process with the client.

  1. Pick a job with few candidates in the Vincere database.
  2. Launch the search and the sequence in HeyTalent from the client's brief.
  3. Export to CSV the people who reply and load them into Vincere using its import procedure.
  4. Measure in parallel the days to shortlist against your usual jobs.

HeyTalent or Vincere by team size and role

For an independent headhunter or a small direct-search agency, HeyTalent is the foundation; in an agency with many clients, Vincere keeps operations in order and HeyTalent is added where names are missing.

Profile Main need Recommended option Reason
Freelancer or independent headhunter Find and contact passive profiles HeyTalent Sourcing, contact data and a free ATS on a per-organisation plan
Small agency Find candidates and follow the process HeyTalent with its ATS or the current one Exports to CSV if it keeps its system
Agency with several salespeople and clients Accounts, assignments and reporting Vincere, with HeyTalent on hard-to-fill jobs The sales CRM is what HeyTalent does not cover
Staffing agency or RPO with several clients Compliance and traceability Validate GDPR before deciding Each client requires documented controls

How to test HeyTalent against Vincere in 30 days

A 30-day pilot on a single real job settles the choice between HeyTalent and Vincere better than any demo. First, answer four questions:

  • Am I finding or managing? If names are missing, a CRM is not the first spend.
  • How many profiles do I review a month? The HeyTalent plan is chosen by that volume, from 2,000 to 14,000 candidates, not by number of users.
  • Do my clients require a data processing agreement? For staffing agencies and RPOs, that paperwork comes before the demo.
  • Do I want to keep Vincere? If it already keeps the process in order, do not change it for the sake of it.

Measure the reply rate, qualified meetings and days to shortlist against your recent jobs.

HeyTalent or Vincere: which to choose in 2026

If on your last jobs the days went on finding names and phone numbers, start with HeyTalent: that is its ground, and its free ATS covers the record-keeping if you do not have one yet. If the days went on coordinating clients, assignments and reporting, stay with Vincere.

If both fail, combine them: HeyTalent fills the pipeline with passive talent and Vincere manages the client relationship. To replace Vincere with another agency suite, go through the Vincere alternatives by category. For the pilot, go to HeyTalent with the real brief of a job.
