Recruiter Tools in 2026: 10 Tools Compared by Bottleneck

Recruiter tools do not all compete with each other: each one tackles a different stage of the job, from finding profiles to following up with candidates or recording the client relationship. When your hours go into finding passive candidates and getting them to reply, HeyTalent is the best recruiter tool for headhunters and agencies, because it bundles LinkedIn search, email and phone lookup and contact sequences into one licence per organisation, with an ATS that costs nothing. The other nine cover other stages: AI sourcing (SeekOut, Juicebox, hireEZ), LinkedIn Recruiter as a reach network, agency ATS and CRM (Loxo, Recruit CRM, Pin, Manatal) and multichannel follow-up (SourceWhale). Before paying for another licence, test them on a real vacancy.

What recruiter tools are and which types exist

Recruiter tools are the software a recruiter, headhunter or agency uses to automate one specific part of the job: locating candidates, getting their contact details, writing to them, or managing vacancies, clients and pipeline. They fall into four families depending on the stage they solve:

  • AI sourcing: turn a brief into a search, find profiles that have not applied and rank them against the requirements.
  • Reach network: LinkedIn Recruiter, for searching and messaging inside LinkedIn.
  • Agency ATS and CRM: record candidates, vacancies, clients and placements.
  • Engagement: automate sequences and reminders for candidates who have already been found.

Recruiter tools are not interchangeable: forcing a single platform to do everything usually creates migration work without solving the original problem.

AI adoption is no longer marginal: in Spain, 21.1% of companies with more than ten employees were using artificial intelligence, according to INE data compiled by SEPE, with room to extend it into recruitment.

HeyTalent: sourcing, contact data and outreach for agency recruiters

HeyTalent is an AI sourcing platform for headhunters, independent recruiters, agencies and Talent Acquisition teams that want to cut the manual work between the brief and the first contact. The recruiter describes the vacancy or pastes the job description, and HeyTalent turns it into a LinkedIn search, extracts profiles beyond the recruiter's own network and ranks them against the defined requirements.

Once the list is ready, HeyTalent finds emails and phone numbers and launches a sequence of invitations, follow-ups and InMails on LinkedIn. Replies land in a shared inbox that can be filtered by vacancy and by recruiter. The recruiter reviews profiles and messages before launching the campaign.

HeyTalent's ATS is not billed: the company charges only for sourcing. It comes with a career page branded for the agency, public job posts pushed to Google Jobs or private posts reachable by link, customisable application forms, a filterable candidate database and one pipeline per job with custom stages, which the agency shares with its client while choosing which stages they see, CVs included.

HeyTalent's plans start at €93/month billed annually, or €109/month billed quarterly, according to HeyTalent's website in October 2026. All of them are charged per organisation, with unlimited users, email and phone lookup and unlimited CSV export; what changes between Recruiter, Agency and Ultra is the monthly candidate cap and the number of LinkedIn accounts connected for outreach.

HeyTalent does not replace the whole stack. It has no sales CRM, and accuracy depends on what each profile shows publicly. Sending connection invitations with a note may require a LinkedIn Premium Business account, so check that before switching on outreach.

LinkedIn Recruiter versus an external sourcing tool

LinkedIn Recruiter is the reference recruiter tool for searching and reaching out by InMail inside LinkedIn, with filters by location, title and skills, and shared projects depending on the product purchased. HeyTalent is the alternative when the brake is the per-seat cost: it charges per organisation, whereas LinkedIn Recruiter is licensed per user and its price depends on product, market and contract.

LinkedIn Recruiter's coverage depends on the profiles a market keeps up to date there, and its per-licence cost is best measured as cost per reply. The LinkedIn Recruiter alternatives in Spain go further.

AI sourcing recruiter tools: HeyTalent, SeekOut, Juicebox and hireEZ

HeyTalent, SeekOut, Juicebox and hireEZ are the recruiter tools that go out and find candidates who have not applied. HeyTalent differs from the rest in its pricing model and in what it includes: one licence per organisation with unlimited users, email and phone lookup inside every plan and a free ATS, against per-user or credit-based plans.

SeekOut combines assisted search, profile data and multi-step campaigns, and its contact credits cap the volume of the entry plan; the guide to SeekOut alternatives compares it with other options. Juicebox turns natural-language descriptions into searches and integrates with several ATSs, although it charges per user and in dollars; there is more detail in the tools similar to Juicebox.

hireEZ adds assessment and interviews, with an individual plan that is expensive for anyone who only needs profiles; the hireEZ alternatives list options in the same category.

ATS and CRM for agencies: Loxo, Recruit CRM, Pin and Manatal

Loxo, Recruit CRM, Pin and Manatal are recruiter tools for recording candidates, vacancies and, in three of the four cases, the commercial relationship with the client. HeyTalent is not a sales CRM; what is worth checking before paying for a per-user ATS just to organise applications is whether HeyTalent's free ATS already covers that record.

Loxo bundles sourcing, ATS, CRM and campaigns into a suite for agencies and executive search, priced by module; the Loxo alternatives analyse it. Recruit CRM connects a consultancy's candidates, clients and communications, with credit-based AI; see the Recruit CRM alternatives.

Pin brings together search, outreach and a shared pipeline, which only pays off if the team uses every piece. Manatal is the cheapest entry-level ATS with CRM on the list and suits small agencies without a central system, although its sourcing extensions do not replace a specialised tool; the Manatal alternatives cover it in depth.

Engagement tools: when SourceWhale fits

SourceWhale is the recruiter tool on this list focused purely on follow-up: sequences and reminders that can combine email, LinkedIn, SMS and phone, with activity synced to the ATS or CRM. Compared with SourceWhale, HeyTalent also finds the candidates and their contact details, but its campaigns are sent only through LinkedIn; if the agency needs email or SMS sequences, SourceWhale covers that channel.

SourceWhale suits an agency that already has a candidate source and an ATS but loses time on manual follow-ups; its pricing requires a demo. The guide to SourceWhale alternatives compares other engagement platforms.

How much recruiter tools cost in 2026

Entry prices for recruiter tools range from $15 per user per month for Manatal to $494 per month for hireEZ's individual plan, according to each vendor's public information; LinkedIn Recruiter, Loxo and SourceWhale do not publish a fixed rate. The billing model matters more than the fee: per user, per organisation or by credits.

The per-user model is the one that gets most expensive as an agency grows: every new recruiter adds a search licence and, often, another one for contact data.

HeyTalent charges per organisation with unlimited users and includes email and phone lookup in all three plans, with a discount of around 15% when paid annually. To compare any stack, add up licences, credits and implementation and divide by qualified candidate. The comparison of sourcing tool pricing details each vendor's credits.

How to test recruiter tools on a real vacancy

A useful test of a recruiter tool runs the same real vacancy through every option being evaluated and asks recruiters to review a sample of profiles before switching on campaigns. A menu-tour demo tells you nothing about your talent pool.

Measure four things in each tool:

  1. Pool quality: how many profiles in the sample the hiring manager accepts, including adjacent but valid ones.
  2. Reachability: what share has a usable email or phone number.
  3. Time to first contact: hours from the brief to the first sequence launched.
  4. Cost per qualified candidate: licences and credits consumed divided by the candidates who reach interview.

The number of profiles extracted is not the same as a useful shortlist: check the false positives too.

What Spain's AEPD requires when AI scores candidates

Spain's data protection authority, the AEPD, requires the organisation to inform clearly about the processing and the tool's role when a recruiter tool scores applications, and the person deciding must be able to review the score critically rather than accept it automatically. If the processing poses a high risk to candidates' rights, the AEPD states that a Data Protection Impact Assessment must be carried out first.

The AEPD summarises these safeguards for using AI in CV analysis; before adding filters, document the data, purpose, criteria and human review.

HeyTalent ranks profiles with AI variables defined by the recruiter and processes public data under legitimate interest, without reselling it, but responsibility for the processing still lies with whoever makes contact. Keep the variables to experience, skills, languages or sector.

How to choose recruiter tools by bottleneck

The right recruiter tool is chosen by the stage that slows the team down, not by the number of features. If the jam sits before the pipeline, in profiles that do not show up and contact details that are missing, start with HeyTalent: it handles search, contact and outreach in one licence per organisation and covers the candidate record with its free ATS.

The exceptions, one line each: to message only inside LinkedIn, LinkedIn Recruiter; for natural-language search with integrations into several ATSs, Juicebox; to add assessment and interviews, hireEZ; to manage agency clients and placements, Recruit CRM or Loxo; for a cheap first central system, Manatal; and for email and SMS sequences on candidates already found, SourceWhale.

If a tool forces you to keep two records, the stack needs simplifying. To measure it on your own vacancy, try the search in HeyTalent and keep the ATS that already works.
